With operations spanning multiple countries, the company relies on Salesforce to support its global sales processes. As its international footprint grew, INGUN needed a document generation solution capable of producing professional, localized quotes across different languages and regional settings.
To meet these growing requirements, INGUN implemented PDF Butler to automate quote generation directly within Salesforce, creating a streamlined experience for both sales teams and customers.
We spoke with Nina Drollmann, CRM Specialist and Tanja Vogelsang, Product Owner for Salesforce at INGUN, to better understand the company’s document generation needs, its experience implementing PDF Butler, and the impact the solution has had on sales and customer service teams.
The Challenge
Before implementing PDF Butler, INGUN relied solely on Salesforce’s native document generation capabilities.
As the business evolved, the standard functionality was no longer enough to support their increasingly sophisticated document requirements.
“When we realized we are going to need a tool that is doing more than the Salesforce standard, we researched and we evaluated four different options,” Nina explained.
The team compared several solutions based on pricing, implementation, support, cloud architecture, and most importantly, the ability to support multiple languages for future global rollouts.
After evaluating the available options, PDF Butler stood out.
“In the end, PDF Butler just had the most pros for us,” Nina shared.
What Actually Made the Difference
Beyond functionality, INGUN appreciated PDF Butler’s licensing flexibility.
“We didn’t need a package that depended on document amount or volume. Instead, we manage this per user and can decide whether a specific user needs the batch generation feature.”
The quality of documentation and customer support also helped build confidence before implementation.
“PDF Butler has a really good support and help page, which also is very useful and helped us gain confidence in going with the product.”
Implementation Process
The implementation itself was quick. While defining the desired document layouts and business requirements took several weeks, the actual technical implementation required only a few days.
Today, approximately 45 active Salesforce users generate documents with PDF Butler.
From planning through testing and deployment, the complete project took approximately two and a half months.
Fully Automated Quote Generation
INGUN currently uses PDF Butler to generate quote templates, combined with Salesforce Flows to automate the entire process.
Instead of requiring users to manually select templates or languages, the system automatically determines the correct quote template based on customer location, user location, and language settings. Once generated, the quote is attached to a pre-filled Salesforce email template, allowing sales representatives to review and send with just a few clicks.
As Nina explains:
“You click the button, and it selects the template based on the customer’s location and language settings. It then generates the document and forwards you to an email template with the PDF Butler document already attached. All that’s left to do is click Send.”
Built for Global Organizations
For INGUN, multi-language support wasn’t simply a useful feature, it was essential.
“Without the multi-language, multi-local settings, we wouldn’t be able to use it at all.”
Another key advantage was PDF Butler’s ability to retrieve data across multiple Salesforce objects without the limitations found in other document generation solutions.
“As soon as it is in the system, we know we can get it on it. We don’t have any limitations.”
This flexibility allows INGUN to dynamically include user information, customer-specific details, and other related Salesforce data directly within their quote templates.

The automated process removes unnecessary manual decisions, saving sales teams several clicks on every quote generated.
With around 100 quotes generated every day, those small efficiency gains quickly add up while also reducing the risk of selecting incorrect templates or languages.
Beyond efficiency, PDF Butler allows INGUN to deliver more personalized and professional-looking documents. Dynamic graphics, customer-specific contact information, and configurable layouts ensure each quote reflects the appropriate branding and customer relationship.
As Nina summarizes: “It’s very well integrated into Salesforce, and we don’t have any limitations.”

PDF Butler is currently deployed across INGUN’s headquarters, with future plans to expand document automation to additional global locations as regional requirements continue to grow.
