Founded in 2001, Uptime Group is part of the Cronos Group, a network of 750 IT companies offering specialized services. With more than 800 people across 25 companies, Uptime Group serves as a centralized hub for integration projects, managed services, consultancy, and training — with transparency and trust at the heart of its operations.
We spoke with Martin Lemmens, Salesforce Architect at Uptime Group, to understand how they’ve changed their quote and proposal generation process using PDF Butler and improved document access through COLLABORATION Butler.
The Challenge
Before PDF Butler, the quoting process at Uptime Group was fragmented and inefficient. Sales teams often defaulted to manually creating Word documents outside of Salesforce, using outdated tools.
“Most of the time, people used Word connectors in Navision — it wasn’t scalable or efficient,” Martin explained. “Sales would save and reuse Word files, which caused issues with standardization and version control.”
Creating professional quotes was slow, manual, and prone to errors. With different teams working in different ways, scaling Salesforce across companies became challenging.
The Solution
Uptime Group began exploring document generation tools and discovered PDF Butler through AppExchange and peer recommendations. After a short trial, they found the support, documentation, and training offered by PDF Butler to be top-notch.
“The support was excellent. We had very specific requirements, especially around importing Excel data and formatting, and the PDF Butler team helped us every step of the way.”
Martin led the Salesforce implementation internally, rolling out PDF Butler to automate quote generation for roughly 70 Salesforce users across different Uptime Group companies. Templates were created centrally — and now support multiple languages and formats.
“One of the biggest wins was being able to set up central template management for all 25 companies in multiple languages.”
Results
PDF Butler allowed Uptime Group to:
- Standardize quote templates across all subsidiaries
- Reduce errors and outdated content by automating Terms & Conditions
- Support multilingual templates (French, Dutch, English)
- Save quotes directly to SharePoint using Collaboration Butler
- Empower the sales team to generate polished quotes directly from Salesforce
“It’s well-integrated in Salesforce and once it’s set up, it’s stable. With PDF Butler, we know our quotes are accurate, compliant, and on-brand.”
While it’s hard to quantify exact time savings due to varying user adoption, Martin noted one major benefit was control over legal language and versioning:
“Now, we can guarantee that every quote includes the correct, updated legal terms, that’s something we couldn’t ensure before.”
Collaboration Butler: Bringing SharePoint to Salesforce
Uptime Group also uses Collaboration Butler to bridge their Salesforce and SharePoint environments. With this integration, teams can access documents directly in Salesforce without switching between platforms.
“We map project folders from SharePoint into Salesforce. It’s like a OneDrive experience, but fully embedded in the account or opportunity record.”
Final Thoughts
Martin recommends PDF Butler to anyone looking to streamline and standardize document generation within Salesforce.
“It’s a solid, evolving solution with great support and local presence. Once you get it up and running, it just works — and that’s invaluable.”
