Strauss Coffee operates in 10 different countries around the world, has 16 brands, and has over 6,000 employees.
Romania has a well-established coffee culture, with roast and ground coffee accounting for more than 80% of their coffee consumption. Consumers, however, are paying more attention to coffee quality and are open to new coffee segments such as mixes, espresso, or espresso-based drinks.
Strauss Coffee Romania has been fueling Romania’s coffee culture since 1994.
With a local factory and a team of 238 people, the company produces and distributes well-loved brands like Doncafé, Amigo, Beanz, Fort, and Totti.
As Salesforce started powering more of their operations, Strauss needed a better way to manage contracts. That’s where PDF Butler came in.
Before PDF Butler
Before introducing PDF Butler, Strauss was managing contracts manually. The process was time-consuming and difficult to track.
“The process, which is assisted by PDF Butler, was 100% manual before,” said Andreea Stoica, from Strauss Coffee.
The team faced challenges like missing data, entry errors, and even lost physical documents.
“We had issues like not all the data completed, errors in completing the data, time wasted… losing the physical document on the way and having to make copies.”
Why PDF Butler
The decision to use PDF Butler came through their Salesforce implementation partner, Next Consult, who evaluated document automation options.
“It wasn’t a search from our side,” Andreea explained. “Salesforce did the research before, and the best option was PDF Butler.”
Their internal team challenged the recommendation, but the research was thorough.
Automating Contracts with PDF Butler
Today, Strauss uses PDF Butler to automate contract generation at the end of their Salesforce approval flow.
“We have an approval flow, and at the end of that, the document is generated —which is automated now. It wasn’t before.”
This shift has made it easier to manage and access contracts.
“We save the files. So we don’t have only the physical ones. We can search for them, and it’s much easier.”
Implementation and Adoption
PDF Butler was integrated into the Salesforce setup by Strauss’s implementation partner and didn’t require complex onboarding.
“The guys from Salesforce worked through our processes and just put the button ‘Generate PDF,’ and that was all.”
Because PDF Butler fits naturally at the end of the flow, user adoption was easy.
“Referring to PDF Butler, it was smooth… at the end of the process, they push to generate the contract, and that’s it.”
Conclusion
While Strauss currently prints and manually signs contracts, their long-term goal is full automation, possibly including PDF Butler’s e-signature solution in the future.
Strauss Coffee Romania’s journey is a great example of how legacy processes can be transformed with the right tools. By integrating PDF Butler into their Salesforce workflow, they’ve gained visibility, accuracy, and a faster path to completed contracts. All without overloading their development team.
